Data Collection & Privacy

RON collects personal information for the sole purpose of generating event-specific networking recommendations. Information collected includes name, email address, professional background, event participation intent, and — where voluntarily provided — publicly available LinkedIn profile data.

What We Collect

From the registration form

  • Name and email (from your event platform — Luma, Eventbrite, Google Forms)
  • Current role and professional background (1–2 sentences)
  • What you want from this specific event
  • What you can offer someone else
  • LinkedIn URL (optional)

From LinkedIn (if URL provided)

Public profile data — current role, experience, professional background — reviewed manually to supplement match quality. Only publicly visible information is used.

The website itself uses analytics and advertising tools (PostHog, Meta Pixel) with cookies. They see site visits only — never your profile, matches, or form answers.

Automated Processing

Match recommendations are generated using artificial intelligence (Anthropic's Claude). RON uses automated profiling to identify compatible participants based on submitted information. You have the right to decline automated matching — contact privacy@ronlinks.com prior to your event.

Where Your Data Goes

Three systems touch attendee data:

RON does not sell or rent personal information. Disclosure is limited to two cases: the service providers listed above, and the participants you are matched with — who receive your name, background, and contact details as part of the match email you consented to. RON applies reasonable technical and organizational safeguards to protect personal information against unauthorized access, disclosure, or misuse. In the event of a data breach presenting a real risk of significant harm, affected individuals and the Office of the Privacy Commissioner of Canada will be notified without undue delay.

The organizer of your event already holds your registration — you gave it to them when you signed up, and they pass it to RON to run the matching. What RON does not hand back to them is the matching itself: who was matched with whom, and the reason given. Organizers receive counts and aggregate statistics, never the pairings.

Some participants are representatives of the event's partners or sponsors. They take part on exactly the same terms as everyone else: they register, they are matched, and the match is mutual — you receive their details only if they receive yours. Unlike the organizer, a partner or sponsor never collected your registration and is never given the guest list. No organization receives your profile by paying for it.

The rule underneath all of this: RON does not give anyone information about you that they did not already have — with one exception, the participants you are matched with, and that exchange runs both ways.

Your Rights

You may withdraw consent, or request access to, correction of, or deletion of your personal information at any time by contacting privacy@ronlinks.com. Requests are fulfilled within 48 hours.

RON does not sell your personal information. Your profile is shared in exactly one case: with the participants you're matched with, after you've opted in. Exercising any of these rights — opting out of matching, requesting deletion — never affects your participation in the event.

Data Retention

  • Participant profiles and match records: Retained in RON's database indefinitely while the service is active.
  • Opt-out: Profile is excluded from all future matching but remains in the database for 1 year, then permanently deleted.
  • Deletion request: Data permanently removed within 48 hours — regardless of the 1-year window.
  • Email content: Match emails are delivered by our email provider and not archived by RON.
  • Email address: Retained as a suppression record after a deletion request, to prevent re-enrollment. No other profile data is retained alongside it.

Complaints

If you believe your privacy rights have been violated, you may file a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca.

For U.S. Participants

RON is based in Toronto and stores all data in Canada. If you register from the United States, your information is transferred to and stored in Canada, and you consent to that transfer by submitting the form.

Your rights above — to know what we hold, to correct it, and to have it deleted — apply to you regardless of where you live. To exercise them, email privacy@ronlinks.com; we respond within 48 hours and never charge for a request.

RON does not meet the thresholds that trigger the California Consumer Privacy Act or similar state laws, but we apply their core protections to everyone by default: no sale of data, profile sharing only with your matches, no discrimination for exercising a right, and deletion on request.

Compliance

This service operates in compliance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Québec's Act Respecting the Protection of Personal Information in the Private Sector (Law 25). R.O.N. Links is based in Toronto, Canada.
